Document Controller

Summary

The company document controller will be responsible for maintaining, controlling, implementing, and driving the documentation in the company in accordance with the BS EN ISO 9001:2015 standard, the VES Quality Management System (QMS) and its critical processes. This person will act as a support mechanism to all levels of leaders and critical sectors in the business. The ideal candidate will have strong communication skills, confidence, and be a team-player who can also work autonomously.

Description

Role and responsibilities:

  • Ensures compliance with Health & Safety Regulations, breading a culture that safety starts with me.
  • Work alongside the Marketing team to ensure all company documentation aligns with the company branding.
  • Create various document templates in accordance with business and ISO requirements.
  • Manage requests for documentation requirements and modifications.  
  • File documents in physical and digital records and ensure appropriate storage.
  • Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date and approved.
  • Liaise with all levels of company leaders and assist with documentation accuracy and updates.
  • Manage the processes around documentation within the organisation.
  • Maintain confidentiality around sensitive documentation.
  • Train employees, focusing on Quality Management System (QMS) and its critical processes (when required).
  • Taking minutes in meetings.
  • Managing and communicating company insurances, certifications, and memberships.
  • Setting up notifications, meeting schedules and agendas.
  • Completing and reporting departmental Key Performance Indicators (KPIs) set by the line manager.
  • Perform document control audits in accordance with the ISO standard.
  • Attend 1st party (internal and site audits), 2nd party (supplier audits) and 3rd party audits (external audits) alongside the line manager, and prepare reports on projects/ audits.
