Project Co-ordinator


As a Project Co-ordinator, you will support both the Project Managers and the Project Engineers in the day to running of projects. Providing a reliable office support base to both, to allow them freedom to attend site meetings etc with the confidence that job packs, parts, sub contract orders, close outs etc are being maintained in line with both VES and Client KPIs. In addition, you will run some smaller projects including maintenance contracts.

Role and responsibilities:

  • To organise information taken from site, liaise with sales and technical engineers and then produce all the necessary contracting paper work.
  • Assigning and coordinating incoming workloads through the Projects Department.
  • Working interdepartmentally to ensure the transfer of project information and data is smooth and conducive to the successful planning and management of the project.
  • Planning of resources required to deliver project completion including VES labour, external sub-contractors, materials and hire equipment.
  • To ensure our site engineers understand each separate contract by both verbal and written instructions, along with any necessary drawings required.
  • To run small fast track style projects including maintenance contracts.
  • Work within Microsoft Projects tool to detail, manage and deliver upon a planned programme with a clear focus to ensure the project meets milestones and agreed handover date.
  • Producing site Health and Safety files from information supplied by Project Managers and Surveyors.
  • Ensuring expenditure is planned and managed in line with budgetary requirements and set KPIs.
  • Assist in addressing and resolving invoice issues and concerns.
  • Follow set company procedures and processes with regards to workflow.
  • Liaising with external vendors to procure products and services as required of the project.
  • Creating client orientated literature to support the management and closure of the project.
  • Other duties as deemed appropriate by the team of Project Managers and Head of Projects.
